**Good B2B email copy makes one clear point to one reader and asks for one action. The subject line names the specific value or topic in the first few words, the preheader adds the reason to open, and the first two sentences say what the email is about, because Gmail's AI Overviews and Apple Intelligence summaries may show a model's summary instead of your preheader. The body uses short paragraphs, concrete numbers you can prove, and a single CTA that describes what happens next. Avoid misleading subject lines: they are illegal under CAN-SPAM and they drive spam complaints.**

> **Key takeaways**
>
> - Front-load the subject line; the first 30 characters do most of the work.
> - Write subject, preheader and first sentence as one unit.
> - Lead with the reader's problem or outcome, not your company.
> - One email, one job, one CTA.
> - Be specific and true. Deceptive subjects are illegal and get reported.

## How do you write a subject line?

| Pattern | Example (Ledgerline) | Works when |
|---|---|---|
| Specific outcome | Cut month-end close by two days | You can prove the outcome |
| Direct topic | Your AP close checklist is ready | Expected, transactional-like emails |
| Question the reader asks | Who should approve a duplicate invoice? | Educational content |
| Number plus specific | 5 approval rules finance teams forget | Lists and checklists |
| Personal and plain | Quick question about your ERP setup | One-to-one style lifecycle emails |
| News | New: three-way matching for NetSuite | Product updates for relevant users |

Rules:

- **Front-load:** put the noun that matters first ("AP close checklist" before "Here's your").
- **Be specific:** "two days" beats "faster".
- **Match the content:** CAN-SPAM prohibits deceptive subject lines, and misleading ones generate complaints.
- **Avoid fake familiarity:** "Re:" or "Fwd:" on a first-touch marketing email is deceptive.
- **Keep it readable:** sentence case usually reads more naturally than Title Case in B2B; avoid ALL CAPS and excessive punctuation.

## How do preheaders and AI summaries change things?

The preheader (preview text) is the snippet shown after the subject in most inboxes. Set it explicitly; otherwise the client shows the first text in the email, which might be "View in browser".

But in 2026, the preview may not be yours:

- **Apple Mail** on devices with Apple Intelligence can show a generated summary in place of the preview text.
- **Gmail** offers AI Overviews summaries of threads, and Google announced an AI Inbox that surfaces priorities.
- **Yahoo Mail** offers AI summaries. The start date is not on a Yahoo page we could confirm, so do not quote one.

What this means for copy:

1. **Say it plainly in the first two sentences.** A model summarises what is there. If your opening is a vague story, the summary will be vague.
2. **Put the key fact and the ask in text, not images.** Models and screen readers cannot use text baked into images.
3. **Keep one main point.** Emails with five topics get summarised as "several updates".
4. **Still write a preheader**; many readers and clients show it.

| Element | Job | Example |
|---|---|---|
| Subject | What it is | Your AP close checklist is ready |
| Preheader | Why open now | 25 steps, owners and a time-saved column |
| First sentence | Confirm and deliver | Here is the month-end close checklist you asked for. |
| Second sentence | Next step | Most teams start with steps 4 to 9, the approval rules. |

## How do you structure the body?

A dependable structure for B2B marketing emails:

1. **Hook:** the problem or outcome in one sentence.
2. **Context:** why it matters now, in one or two sentences.
3. **Value:** the tactic, proof or offer, using a short list if more than two points.
4. **CTA:** one action with a specific label.
5. **Sign-off:** from a person where possible, with a real reply-to.

### CTA wording

| Weak | Strong |
|---|---|
| Learn more | See the 25-step checklist |
| Get started | Approve your first invoice |
| Submit | Send me the template |

### Writing rules

- **Short paragraphs:** one to three sentences.
- **Reader first:** count "you" versus "we"; aim for more "you".
- **Concrete proof:** a named customer (with permission), a number you can source, or a specific example.
- **No jargon:** "automate three-way matching" beats "leverage intelligent AP orchestration".
- **Plain-text style for one-to-one asks:** a lightly formatted email from a person often gets more replies than a designed template.

## How do you write for different jobs?

| Email job | Length | Tone | CTA |
|---|---|---|---|
| Welcome | 100 to 200 words | Warm, expectation-setting | One first step |
| Onboarding nudge | 50 to 120 words | Helpful, specific | Do the step |
| Nurture or newsletter | 300 to 800 words, scannable | Expert, generous | Read or use a resource |
| Event invite | 120 to 200 words | Clear on value and time | Register |
| Sales handoff | 50 to 100 words | Personal | Reply or book |
| Win-back | 80 to 150 words | Honest | Come back or update preferences |

## Pre-send copy checklist

- Subject, preheader and first two sentences make sense together and alone.
- One main point, one CTA (secondary links are fine if clearly secondary).
- Every number and claim has a source or is clearly illustrative.
- No misleading urgency or fake reply prefixes.
- Reads well in plain text.
- Sender name is recognisable ("Maya at Ledgerline" or "Ledgerline").
- Reply-to goes to a monitored inbox.

> **Pro move:** paste your finished email into an AI assistant and ask: "Summarise this email in one sentence for a busy reader." If the summary does not match your intended point and CTA, rewrite the opening. That is roughly what an AI inbox will do.

## Worked example: Ledgerline

*Ledgerline is a fictional accounts-payable software company. Figures are illustrative, not benchmarks.*

Ledgerline's webinar invite has the subject "Ledgerline Webinar Series: Episode 4" and opens with a paragraph about the company's mission. Registrations are low.

### Walkthrough

1. **Subject rewrite:** "How 3 finance teams closed the month 2 days faster" (the webinar features three customers, with permission).
2. **Preheader:** "Live on 19 November, 16:00 CET, 30 minutes, with Q&A."
3. **Opening:** "On 19 November, three AP leads will show the approval rules that cut their close by two days. Register for the 30-minute session."
4. **Body:** three bullets, one per customer, then logistics.
5. **CTA:** "Save my seat for 19 November."
6. **Summary test:** an AI summary now reads as a clear invite with date and value.
7. **Result:** registrations per delivered roughly double versus the previous episode (illustrative). The team tests the customer-led subject against a question version next.

## Common mistakes

- Company name and series number as the subject.
- No preheader, so "View in browser" shows.
- The key message in an image.
- Several competing CTAs.
- Claims you cannot prove.

## Try it yourself

Take your last three campaign emails. Rewrite each subject, preheader and first two sentences using the table above. Run the one-sentence summary test on old and new versions and compare.

## Quick quiz

**1. Why do the first two sentences matter more in 2026?**
*Answer:* AI summaries in Gmail, Apple Mail and Yahoo may show a summary instead of your preheader, and they summarise what the opening says.

**2. Is using "Re:" on a first marketing email acceptable?**
*Answer:* No. It is deceptive and risks CAN-SPAM issues and complaints.

**3. What makes a strong CTA?**
*Answer:* It names the specific action and what the reader gets.

**4. Should key information be in images?**
*Answer:* No. Put it in live text.

## What should you check before the next lesson?

- Subject, preheader and opening written together.
- One CTA per email.
- Claims sourced.
- Summary test done on your next send.

## Common questions

**How long should a B2B subject line be?** Short enough that the key words show on mobile, often around 30 to 50 characters. Put the specific benefit or topic first, because clients and AI summaries may truncate or rewrite the rest.

**Do emojis in subject lines help?** Sometimes in B2C, rarely in B2B. Test them on your audience, and never use them to replace words.

**Do spam trigger words matter?** Individual words matter far less than reputation, authentication and engagement. Misleading or high-pressure wording still hurts because people mark it as spam.

**How long should a B2B marketing email be?** As long as it takes to make one point and one ask. Short emails of 50 to 150 words work for asks and nudges; newsletters can be longer if they are scannable.
