**Deliverability monitoring means watching how mailbox providers treat your mail, not just whether your ESP says it was sent. In 2026 the core tool is Gmail Postmaster Tools v2: its Compliance status dashboard shows whether your domain meets each sender requirement (Compliant, Needs work or No data found), and the Spam rate dashboard shows the user-reported complaint rate against Gmail's 0.1% and 0.3% lines. Add Microsoft SNDS for IP data at Outlook.com, your ESP's bounce codes by provider, click rates by mailbox domain and occasional seed tests. Set alert thresholds and review weekly, because problems show up days before they hit pipeline.**

> **Key takeaways**
>
> - Verify every sending domain and subdomain in Postmaster Tools, not just the root.
> - Read Compliance status first, then Spam rate, then delivery errors.
> - Google's help still lists separate IP Reputation and Domain Reputation dashboards. Spam rate and compliance are the daily signals.
> - Data is in UTC, can lag 24 hours or more, and needs meaningful Gmail volume.
> - Track bounce codes and clicks by mailbox provider to catch problems Postmaster cannot show.

*Checked 5 November 2026 (CET) against Gmail Help's Postmaster Tools articles and Microsoft's SNDS documentation cited in Sources. Postmaster Tools features roll out gradually; your account may look different. Ledgerline is a fictional company used for illustration.*

## How do you set up Postmaster Tools?

1. Go to [postmaster.google.com](https://postmaster.google.com/) and sign in with a Google account the team shares (use a group-owned account, not a person's).
2. Add your From domain, for example `ledgerline.example`. Verify with the TXT record Google gives you.
3. Add each sending subdomain you want to see separately, such as `news.ledgerline.example`. Verification of the parent can cover subdomains, but adding them gives cleaner views.
4. Add teammates with access to the domain.
5. Wait. Data appears once there is enough daily volume to personal Gmail accounts, and updates take about a day or more.

## What do the v2 dashboards show?

| Dashboard | What it shows | How to use it |
|---|---|---|
| Compliance status | For each requirement: Compliant, Needs work, or No data found | Your first check after any change to DNS, ESP or templates |
| Spam rate | User-reported spam as a share of inbox-delivered mail | Daily line against 0.1% and 0.3% |
| Authentication | SPF, DKIM and DMARC pass rates | Spot a new tool sending unauthenticated mail |
| Encryption | Share of mail over TLS | Should be near 100% |
| Delivery errors | Rejections and temporary failures, with reasons | Catch enforcement early |
| IP Reputation and Domain Reputation | Still listed as separate dashboards in Google's help | Read alongside spam rate. Do not assume they have been removed |

The Compliance status checks split into two groups:

| Applies to | Checks |
|---|---|
| All senders | SPF and DKIM set up, valid forward and reverse DNS, message formatting, TLS encryption, spam rate |
| Bulk senders | DMARC, one-click unsubscribe for marketing, honouring unsubscribes within 48 hours |

You can view up to 120 days of history in the v2 dashboards. Google also offers a Postmaster Tools API for pulling data into a warehouse or [Looker Studio (Data Studio)](https://mentionx.ai/learn/looker-studio/looker-studio-for-marketers). Confirm the current API version in Google's API docs before you build on a date.

## How do you read the spam rate?

- **Look at the daily line, not the average.** One 0.4% day after a dormant-segment send matters more than a 0.08% monthly average.
- **Match spikes to sends.** Export your send log with UTC timestamps and segment names, then line them up with the chart.
- **Remember the denominator.** The rate is based on mail delivered to the inbox. If much of your mail goes to spam, the rate can look low while delivery is poor. Check clicks too.
- **Small volume is noisy.** Below a few thousand Gmail recipients per day, a handful of complaints moves the rate a lot.

## What should you watch outside Postmaster Tools?

| Signal | Where | Alert when |
|---|---|---|
| Bounce codes by provider | ESP bounce log or export | Any new 5.7.x code family, or bounces at one provider above about 2% of a send |
| Unique click rate by mailbox domain | ESP report filtered by gmail.com, outlook.com, company domains | A provider drops sharply versus the 8-week average while others hold |
| Microsoft SNDS | [Microsoft SNDS](https://sendersupport.olc.protection.outlook.com/snds/) for dedicated IPs | Status turns yellow or red; trap hits appear |
| Microsoft 365 business recipients | Seed mailbox in a test tenant, customer reports | Mail lands in quarantine or Junk |
| Blocklists | Major public blocklist checkers | Your sending IP or domain is listed |
| DMARC aggregate reports | Your DMARC processor | New sources failing alignment |
| Unsubscribe and complaint feedback loops | ESP (Yahoo and Microsoft feedback loops are usually handled by the ESP) | Rate per send above your baseline |

Note: SNDS is useful mainly if you send from dedicated IPs. On shared ESP IPs, the ESP monitors it for you.

### Seed tests

Seed-list tools send your email to test inboxes at Gmail, Outlook.com, Yahoo and business providers and report placement. They are useful for checking a new template or domain before a big send, but seeds do not engage like real readers. Treat results as a smoke test.

## How do you build a weekly monitoring routine?

1. **Monday, 15 minutes:** Compliance status for each domain; spam rate for the last 7 days; delivery errors.
2. **After every broadcast:** bounce rate by provider and spam rate the following day (UTC day, so check after 02:00 CET).
3. **Weekly:** unique click rate by mailbox provider versus the 8-week average; DMARC report for new sources.
4. **Monthly:** blocklist check, seed test of top templates, review of suppression growth (lesson 20).

Set alerts in your ESP or BI tool:

| Metric | Warning | Critical |
|---|---|---|
| Gmail spam rate (daily) | 0.1% | 0.25% (act before 0.3%) |
| Hard bounce rate per send | 1% | 2% |
| Gmail unique clicks vs 8-week average | -25% | -40% |
| Any Compliance status "Needs work" | Immediately | Immediately |

> **Pro move:** add a column "mailbox provider" to your weekly email report and show clicks per delivered for Gmail, Outlook.com, Yahoo, Apple iCloud and "business domains". A provider-specific drop is the earliest visible sign of a filtering problem.

## Worked example: Ledgerline

*Ledgerline is a fictional accounts-payable software company. Figures are illustrative, not benchmarks.*

Ledgerline's newsletter clicks fell 30% over three weeks (illustrative). The ESP shows 99% delivered.

### Walkthrough

1. **Postmaster Tools:** Compliance status for `news.ledgerline.example` shows "Needs work" on one-click unsubscribe since a template change.
2. **Inspect headers:** the new template system dropped `List-Unsubscribe-Post`. People used the spam button instead.
3. **Spam rate** rose from 0.06% to 0.22% over the same weeks.
4. **Fix:** restore headers, add a clearer unsubscribe link at the top of the newsletter for one month.
5. **Provider view:** Gmail clicks per delivered were down 45%; Outlook.com and business domains were flat, confirming a Gmail-specific issue.
6. **Recovery:** after a week, Compliance status returns to Compliant and spam rate settles under 0.1%. Clicks recover over the following month.

## Common mistakes

- Only verifying the root domain.
- Reading Postmaster data in local time and matching it to the wrong send.
- Trusting "delivered" in the ESP as "inboxed".
- Using seed tests as the only signal.
- Waiting for monthly reports to look at spam rate.

## Try it yourself

Verify all sending domains in Postmaster Tools today. Next week, fill in the monitoring table: Compliance status per check, 7-day spam rate, bounce rate by provider, clicks per delivered by provider. Set two alerts in your ESP or BI tool.

## Quick quiz

**1. What three states does the Compliance status dashboard show?**
*Answer:* Compliant, Needs work and No data found.

**2. Which checks apply only to bulk senders?**
*Answer:* DMARC, one-click unsubscribe and honouring unsubscribes within 48 hours.

**3. Why can a low spam rate hide a problem?**
*Answer:* It is calculated on inbox-delivered mail, so mail filtered to spam does not count.

**4. What time zone is Postmaster data in?**
*Answer:* UTC.

## What should you check before the next lesson?

- All domains and subdomains verified in Postmaster Tools.
- Weekly monitoring slot in the calendar.
- Alerts for spam rate and bounces configured.
- Provider-level click reporting set up.

## Common questions

**Where did Domain Reputation go in Postmaster Tools?** Google's Postmaster Tools help still lists separate IP Reputation and Domain Reputation dashboards, alongside Compliance status and Spam rate. Use spam rate and compliance as the daily signals. If your account shows a combined Reputation view, treat it as extra context.

**Why does Postmaster Tools show no data?** Postmaster Tools only shows data when your domain sends enough daily volume to personal Gmail accounts, and data can take a day or more to appear. Low-volume domains often show No data found.

**Are Postmaster Tools times in my time zone?** No. Postmaster Tools data is reported in UTC, so a day boundary falls at 01:00 CET.

**Is inbox placement testing reliable?** Seed-list tests give a directional view only. They miss engagement-based filtering, so combine them with Postmaster data, bounce codes and click trends.
