**To measure email in GA4, tag every link with a consistent UTM convention (utm_medium=email in lowercase, a stable utm_source, a dated utm_campaign and utm_content for the link or variant), make sure your ESP's click tracking keeps parameters through redirects, mark the actions that matter as key events, and build a simple email report by campaign and content. GA4's default Email channel only matches source or medium values like email, e-mail, e_mail or e mail, so "newsletter" as a medium lands in Unassigned. Expect some email clicks to appear as Direct because of app browsers and cross-device journeys, and use CRM data to close the gap.**

> **Key takeaways**
>
> - utm_medium=email, always lowercase.
> - Agree a naming convention and generate links from a template, not by hand.
> - Test that ESP click tracking and redirects preserve UTMs.
> - Key events for demo requests, trial starts and activation make email visible in GA4.
> - Cross-check GA4 with ESP clicks and CRM pipeline.

*Checked 5 November 2026 (CET) against Google Analytics Help on default channel groups, campaign URL parameters and key events cited in Sources. For full GA4 campaign tagging, see the [GA4 UTM campaign tagging](https://mentionx.ai/learn/ga4/ga4-utm-campaign-tagging) lesson. Ledgerline is a fictional company used for illustration.*

## What naming convention works for email?

| Parameter | Rule | Ledgerline example |
|---|---|---|
| utm_medium | Always `email` | email |
| utm_source | Program or stream | newsletter, onboarding, nurture, event, product-update |
| utm_campaign | Date plus topic, lowercase, hyphens | 2026-11-ap-close-checklist |
| utm_content | Link position, block or variant | lead-cta, tactic-block, footer, variant-b, role-controller |
| utm_term | Optional; segment or audience | tier-a |

Rules:

- **Lowercase everything.** GA4 treats `Email` and `email` as different values.
- **No spaces.** Use hyphens.
- **Never tag internal links** on your own site with UTMs; it resets the session's source.
- **Keep a register** (a spreadsheet or link builder) so values stay consistent.

## How does GA4's Email channel work?

GA4's default channel group puts a session in **Email** when the source or medium matches email, e-mail, e_mail or e mail (case-insensitive in the channel definition, but keep values lowercase for clean reports). See the [GA4 default channel group explained](https://mentionx.ai/learn/ga4/ga4-default-channel-group-explained) for the full rules.

| utm_medium value | GA4 default channel |
|---|---|
| email | Email |
| e-mail | Email |
| newsletter | Unassigned (unless source matches) |
| Email (capitalised) | Email in the channel, but split from "email" in source/medium reports |
| (none) | Likely Direct or Referral from webmail |

If you must keep an old medium value, create a custom channel group in GA4 to include it, but fixing the tagging is better.

## How do you set up your ESP?

1. **Turn on automatic UTM tagging** if the ESP offers it, and set the defaults to match your convention. Check that it does not overwrite your manual `utm_content`.
2. **Use a branded click-tracking domain** (for example `click.news.ledgerline.example`) with a CNAME to the ESP. Branded links look more trustworthy and keep reputation aligned with your domain.
3. **Test redirects.** Click each link in a test email, then check the landing URL still contains all UTMs. Link shorteners, CMS redirects and HTTPS redirects sometimes drop query strings.
4. **Check your consent banner** behaviour. With [Consent Mode](https://mentionx.ai/learn/ga4/ga4-consent-mode-v2-basic-advanced), sessions from users who decline analytics cookies may be modelled or missing.

## Which key events should email drive?

| Key event | Trigger | Why |
|---|---|---|
| generate_lead | Demo or contact form submitted | Primary B2B conversion |
| sign_up | Trial or account created | SaaS conversion |
| file_download or custom | Lead magnet confirmed | Content conversion |
| activation (custom) | Product activation event | Onboarding flow goal |
| webinar_registration (custom) | Event signup | Event emails |

Set these up as described in [GA4 key events setup](https://mentionx.ai/learn/ga4/ga4-key-events-setup), using [GTM form tracking](https://mentionx.ai/learn/gtm/gtm-form-click-scroll-tracking) where forms do not fire events natively.

## How do you build an email report in GA4?

1. **Explore > Free form.**
2. Dimensions: Session source / medium, Session campaign, Session manual ad content.
3. Metrics: Sessions, Engaged sessions, Key events (select the events above), Session key event rate.
4. Filter: Session medium exactly matches `email`.
5. Rows: Session campaign; columns or secondary rows: Session manual ad content.
6. Save and share, or rebuild in [Looker Studio (Data Studio)](https://mentionx.ai/learn/looker-studio/looker-studio-for-marketers) with the GA4 connector.

Add a second view for **First user source / medium** to see how many new users email acquires, which matters for referral and forward-to-a-colleague growth.

## Why does email traffic go missing?

| Cause | Symptom | Fix |
|---|---|---|
| Untagged links | Email clicks show as Direct or Referral (from mail.google.com and similar) | Tag every link |
| Wrong medium value | Unassigned channel | Use `email` |
| Redirect drops parameters | Landing URL has no UTMs | Fix redirects or link directly |
| App in-app browser | Session with no cookies, later visit as Direct | Accept; close the gap with CRM |
| Cross-device | Click on mobile, conversion on desktop | Use CRM attribution and user-ID if you have logins |
| Consent declined | Missing or modelled sessions | Consent Mode; accept modelled data |
| Security scanner clicks | Sessions with no engagement | Exclude in ESP; ignore in GA4 |

### Closing the gap with CRM

Your ESP knows which contact clicked; GA4 knows sessions; the CRM knows pipeline. Join them:

- Pass a contact ID or hashed identifier into the landing page only if your privacy notice and consent allow it, and never put email addresses in URLs.
- Use the CRM's own email click and form data to report "pipeline influenced" (lesson 15).
- Add self-reported attribution on demo forms ([self-reported attribution](https://mentionx.ai/learn/measurement/self-reported-attribution-adding-chatgpt-forms)).

> **Pro move:** generate every email link from a link-builder sheet with dropdowns for source, campaign and content, and a formula that builds the URL. Then run a monthly GA4 check for any session medium values that look like email but are not exactly `email`, and fix the source.

## Worked example: Ledgerline

*Ledgerline is a fictional accounts-payable software company. Figures are illustrative, not benchmarks.*

Ledgerline's GA4 shows the Email channel with very few key events, while the ESP shows thousands of clicks. Sessions from `mail.google.com / referral` and Unassigned are high.

### Walkthrough

1. **Audit:** newsletter links use `utm_medium=Newsletter`; onboarding emails have no UTMs; product-update links go through a shortener that drops parameters.
2. **Convention:** the table above adopted; link-builder sheet created.
3. **ESP:** automatic UTMs on with matching defaults; branded click domain added.
4. **Redirects:** shortener removed; CMS redirect fixed to keep query strings.
5. **Key events:** generate_lead, sign_up and a custom activation event marked.
6. **Report:** GA4 exploration and a Looker Studio page by campaign and content.
7. **Result:** email-channel sessions roughly triple and Unassigned falls (illustrative). Demo requests from email become visible for the first time.

## Common mistakes

- `utm_medium=newsletter`.
- Mixed-case values.
- UTMs on internal links.
- Not testing redirects.
- Email addresses in URLs.

## Try it yourself

In GA4, list all session medium values for the last 90 days. Find every value that should be email. Write your UTM convention, build the link-builder sheet and retag next week's emails.

## Quick quiz

**1. Which utm_medium value puts sessions in GA4's Email channel?**
*Answer:* email (also e-mail, e_mail, e mail).

**2. Why should you not use UTMs on internal links?**
*Answer:* They overwrite the session's original source.

**3. What does a branded click-tracking domain do?**
*Answer:* Makes links look trustworthy and keeps reputation aligned with your domain.

**4. Name two reasons email clicks show as Direct.**
*Answer:* Untagged links and in-app browsers or cross-device journeys (also redirects that drop parameters).

## What should you check before the next lesson?

- UTM convention documented and in use.
- ESP auto-tagging and branded click domain set.
- Redirects preserve parameters.
- Email report in GA4 or Looker Studio.

## Common questions

**What utm_medium should I use for email?** Use email in lowercase. GA4's default Email channel matches source or medium values of email, e-mail, e_mail or e mail, so other values like newsletter will not land in the Email channel.

**Why does email traffic show as Direct in GA4?** Usually because links have no UTMs, the email is opened in an app that strips referrers, a redirect drops parameters, or the click opens in an in-app browser without cookies. Tag every link and test redirects.

**Should utm_source be the ESP name?** Prefer the program or list, such as newsletter or onboarding, or keep a fixed value like your brand plus email. Be consistent; the ESP name is rarely useful in reports.

**Can I track email conversions without UTMs?** Partially, through ESP click data and CRM attribution, but GA4 needs UTMs to attribute sessions to email reliably.
