**A safe HubSpot import is a controlled data change with a matching rule, field map and reconciliation plan. Decide whether you are creating records, updating them or both. Use supported unique identifiers, protect trusted values and test representative rows before a full import. Automatic deduplication is useful, but it does not resolve every business identity or repair a poorly prepared file.**

> **Key takeaways**
>
> - Contacts commonly match on email; Record ID supports explicit record matching.
> - Rows without a valid unique identifier can create unintended records.
> - Consent, marketing status and lifecycle changes require separate review.
> - Reconcile created, updated, skipped and failed rows after every material import.

## What decision should come before opening the import tool?

State the purpose: create a new approved cohort, update a known property, add activities or migrate a defined dataset. A file assembled for one purpose should not silently perform several others. "Upload the latest spreadsheet" is not a sufficient change specification.

Identify the authoritative source and owner. Confirm that the records may be processed and that any communication use is appropriate. An import checkbox is not a substitute for investigating how a contact list was obtained. Purchased or scraped addresses should not be treated as permissioned marketing data.

Choose create-only, update-only or create-and-update behaviour where the current import route offers it. Update-only is useful when the task must not create new records, but it still requires correct identifiers. Record the intended result before looking at the platform's completion total.

Check who can import and which features the account supports. Core import functionality has broad access, while particular objects, properties, enrichment and status actions can have additional requirements. Do not enable enrichment or marketing status merely because an optional checkbox is visible.

## How does matching actually work?

HubSpot documents automatic contact deduplication using email and company deduplication using domain names in relevant creation paths. Record ID and supported unique-value properties can identify existing records during imports. The exact route matters; do not generalise every matching behaviour to all API and integration creation.

| Identifier | Useful role | Important caution |
|---|---|---|
| Contact email | Match an existing person record | Secondary-email handling needs care |
| Record ID | Explicitly identify a HubSpot record | Blank values can create records in applicable modes |
| Company domain | Common company matching key | Shared domains and subsidiaries need review |
| Supported unique property | Match a business-defined identifier | Verify uniqueness and entitlement |
| Display name | Human recognition | Usually insufficient as a reliable unique key |

The deduplication article describes cases where secondary email plus Record ID can replace the primary email. Test that scenario deliberately rather than assuming every email column is harmless. Preserve the primary identifier when the task is only to update another field.

A person changing employer is not automatically a duplicate to merge. A shared inbox is not necessarily one human. Identity resolution requires business judgement beyond string matching.

## How should you prepare the file?

Use one clear column per property and consistent values. Preserve identifiers as text where spreadsheet formatting could alter them. Validate dates, date-time zones, country-specific number formats and controlled selection options before import.

Remove columns that are not needed. A spreadsheet can contain private notes, financial information or obsolete internal classifications that should not enter the CRM. An import is an opportunity to minimise data, not a reason to preserve everything because storage is available.

Build a field map with source column, target object, target property, type, allowed values, overwrite policy and owner. Mark unmapped columns explicitly. Do not create a new property automatically every time a source heading differs slightly from an existing field.

Separate raw source files, cleaned working files and the approved import file. Keep a change log so the team can explain transformations. Do not overwrite the only source copy during cleaning or assume the platform can reconstruct it later.

## What should a representative test include?

Include a new record, an existing record, a duplicate within the file, a missing identifier, a secondary email, a blank value, an invalid date and an association edge case. The test set should reflect the actual data risks rather than a handful of perfect rows.

Write expected outcomes before running the test. Which record should update? Which value should remain? Which row should fail? Which association should be created? If the expected result is unclear, the import specification is not ready.

Use synthetic or appropriately controlled records and a small scope. A test import can still change real data and trigger downstream automation. Review enrolment rules, notifications and marketing-status defaults before importing even a modest batch.

Check permissions and side effects separately from data correctness. The imported property may be right while a workflow sends an unintended message. A safe test verifies the surrounding process, not only the mapping screen.

## How do you protect consent and marketing status?

HubSpot distinguishes marketing contact status from permission to communicate. Importing a person does not establish that they are subscribed to every email type. Record the appropriate processing basis and subscription evidence using the supported privacy tools and approved business process.

The current marketing-contact guidance says new imported contacts default to non-marketing when no marketing status is specified, with particular import options for setting marketing status. Check the exact route and existing-contact behaviour rather than applying that default to every update.

Review billing impact before setting a large cohort as marketing. Moving contacts back to non-marketing has timing and tier implications covered in the next lesson. Do not treat status changes as an immediate reversible switch with no commercial consequence.

Avoid importing a blanket "consent = yes" field as if it overrode the subscription system. A custom property can document context, but it does not necessarily change the platform's actual communication eligibility or satisfy legal requirements.

## How should you reconcile the result?

Compare source rows with created, updated, skipped and failed outcomes. Investigate errors rather than repeatedly reimporting the entire file. A second full import can introduce new changes or duplicate side effects if the matching or workflow design is wrong.

Inspect a sample of records at the property and association level. Verify dates, owners, lifecycle and subscription states. Check the downstream segment and report that motivated the import. A completion message does not prove that the business result is correct.

Document the batch identifier and keep a safe way to identify affected records, using supported import history or an approved segment. This helps investigate problems later. It is not permission to delete the cohort indiscriminately if an error appears.

Plan correction with care. A backup export can support recovery, but restoring data is not always a simple inverse operation. Association changes, workflow actions and emails may not be undone by reimporting old values. Review the correction plan before the full change.

## What does ongoing hygiene look like?

Create a recurring review for missing owners, invalid categories, stale sources, duplicate candidates and association gaps. Assign a steward and a definition of done. A dashboard full of data-quality warnings is not useful if nobody can act on them.

Prioritise fields that affect live decisions. Fix a broken qualification field before standardising an unused optional label. Review creation paths so the same defect does not return through a form or integration immediately after cleanup.

Link to [n8n lead enrichment workflows](https://mentionx.ai/learn/n8n/n8n-lead-enrichment-workflow) when planning external data operations, but preserve the authoritative source and privacy rules. Enrichment is a suggestion source, not proof that every value is accurate or appropriately collected.

> **Pro move:** create an import receipt with purpose, approved file, matching key, overwrite rules, expected counts, side effects checked and reconciliation owner. It makes a future audit much easier than reconstructing a spreadsheet's history.

## Worked example: Ledgerline

*All file sizes, records and Competitor A-D observations below are illustrative. Ledgerline is fictional; no real contact information is used.*

Ledgerline receives an illustrative file of 300 workshop records. Competitor A promotes guides, Competitor B webinars, Competitor C partner events and Competitor D demos. Their visible offers do not reveal their data permissions or import quality.

### Walkthrough

1. The team defines the task as updating workshop-interest data for known contacts and creating only approved new records. A field map excludes private process notes.
2. Existing records use the agreed identifier. Secondary emails and missing identifiers are isolated for review rather than treated as ordinary rows.
3. A test set includes an existing customer, a duplicate and an invalid date. The team checks that lifecycle and owner remain protected.
4. Marketing status is reviewed separately from subscription permission. The import does not subscribe everyone to the newsletter.
5. After the approved batch, the steward reconciles created, updated and failed rows and inspects the resulting segment.
6. A mapping issue affects a controlled field. The team corrects only the affected data through an approved plan instead of deleting or reimporting the whole cohort blindly.

The receipt shows what changed and why. That traceability matters more than celebrating a large number of successfully processed rows.

## Common mistakes

**Using names as unique identity.** Similar names can represent different people or entities.

**Treating blanks and secondary emails casually.** They can change matching and overwrite behaviour.

**Ignoring automation side effects.** Imports can alter eligibility for live processes.

**Calling an import checkbox proof of consent.** Preserve the actual lawful source and subscription evidence.

## Try it yourself

Design a field map and test set for one real import purpose. Include at least one row that should fail and one value that must remain unchanged. Review workflow and billing effects before any live change.

Write a reconciliation sheet with expected and actual outcomes. Ask another operator to explain the matching and correction plan. If they cannot identify the affected cohort without guessing, improve the receipt before importing the full dataset.

## Quick quiz

**1. Does a successful import guarantee clean business data?**

*Answer:* No. Verify meaning, matching, associations, side effects and downstream use.

**2. Does importing a contact grant newsletter permission?**

*Answer:* No. Communication eligibility and evidence require separate handling.

**3. Is reimporting a backup a complete rollback?**

*Answer:* Not necessarily. Emails, workflow actions and some relationship changes may not be reversed.

## What should you check before the next lesson?

Confirm matching, field ownership, test results and reconciliation. Keep a record of status and permission decisions. Next, understand marketing-contact designation and subscription types so CRM storage, billing and communication are not confused.

## Common questions

**Is email always enough to identify every imported record?** No. Matching depends on the object, identifiers and intended operation. Test the documented import behaviour.

**Should I import the entire file as a first test?** No. Use a small reviewed sample with duplicates, missing values and update cases before broader processing.

**Does a completed import prove downstream accuracy?** No. Reconcile records, associations, permission fields and any workflows affected by the import.
