**A short monthly routine turns Search Console from a tool you open in a crisis into a steady source of marketing decisions.**

*Checked 4 November 2026 (CET) against Search Console Help and Google Search Central documentation. Search Console reports and rollouts change often, and some features only appear for eligible properties, so confirm in your own property. "Our view" marks MentionX opinion. Ledgerline is a fictional company used for illustration.*

> **Key takeaways**
>
> - Check performance with a brand split.
> - Read Insights and generative AI exposure.
> - Check key-page health.
> - Combine with other AI visibility.
> - Write a short summary.

## What goes into the summary?

1. Non-branded clicks trend.
2. Top movers.
3. Generative AI exposure.
4. Key-page health.
5. One action.

See [GA4 for AI search: a monthly measurement routine](https://mentionx.ai/learn/ga4/ga4-ai-search-monthly-measurement-routine) and [the monthly AI visibility report template](https://mentionx.ai/learn/measurement/monthly-ai-visibility-report-template).

*Our view:* one action per month beats ten observations.

> **Pro move:** use annotations to record the action you took.

## The routine

| When | Task | Report |
|---|---|---|
| Week 1 | Performance month vs previous, brand split | Performance, branded filter |
| Week 1 | Insights trends | Insights |
| Week 2 | Generative AI exposure | Generative AI reports |
| Week 2 | Key pages indexing | Page indexing |
| Week 3 | Sitemaps, CWV, crawl health | Sitemaps, CWV, Crawl stats |
| Week 4 | Combined AI visibility | Lesson 20 sheet |

## Troubleshooting

| Problem | Fix |
|---|---|
| Routine takes too long | Drop to key pages only |
| Stakeholders confused by numbers | Report trends with annotations |

## The monthly sheet, tab by tab

| Tab | Columns | Source |
|---|---|---|
| Summary | Month, non-branded clicks, branded clicks, AI impressions, key pages indexed, one action | All tabs |
| Performance | Page section, clicks, impressions, CTR, change vs last month | Performance export |
| Brand | Branded and non-branded clicks by month | Branded filter |
| AI | Top AI-surfaced pages and trend | Generative AI report |
| Health | Key pages indexed, CWV status, sitemap status, crawl host issues | Page indexing, CWV, Sitemaps, Crawl stats |
| Other AI | GA4 AI referrals, prompt test results | Lesson 20 |
| Actions | Date, action, owner, annotation added, result | You |

## Running it in about two hours

| Time | Task |
|---|---|
| 0:00-0:20 | Performance month vs previous and same month last year; export by section |
| 0:20-0:35 | Brand split; note campaigns that explain branded changes |
| 0:35-0:50 | Insights: trending pages and query groups |
| 0:50-1:10 | Generative AI report; compare with Performance for top pages |
| 1:10-1:30 | Health: key-pages indexing, CWV, sitemaps, crawl host status |
| 1:30-1:45 | Other AI sources (lesson 20) |
| 1:45-2:00 | Write the summary and choose one action |

## Writing the summary

Use this template:

1. **Non-branded clicks** were up, flat or down vs last month and last year, with the main reason.
2. **Biggest mover:** one page or topic and why.
3. **AI exposure:** which pages Google uses in AI features, and the trend.
4. **Health:** any key-page indexing or speed issue, with the owner.
5. **Action:** the one thing we'll do this month, with an annotation date.

## Triggers for an unscheduled check

- A site release or migration: check Page indexing and URL Inspection for key pages within a week.
- A Google core update announcement: annotate it and compare the following weeks with the debugging guide for traffic drops.
- A sudden drop in clicks: follow Google's [guide to debugging traffic drops](https://developers.google.com/search/docs/monitor-debug/debugging-search-traffic-drops), starting with the Performance chart shape.
- A change to the generative AI control: check the generative AI report after a week.

## Edge cases

- **Short months and holidays.** Compare with the same month last year as well as last month.
- **Data delays.** Run the routine a few days into the new month, after data is complete.
- **Changing definitions.** If you change regex or prompt sets, note it in the Actions tab so trends aren't misread.
- **Team changes.** Store the routine and sheet in a shared location so it survives people leaving.

## Ledgerline walkthrough: month one, in detail

1. On the 4th of the month, the SEO lead exported Performance by section and compared it with the previous month and last year.
2. The brand split showed branded clicks up after a webinar series and non-branded flat.
3. Insights flagged the integrations guide as trending down; Performance confirmed lower position for two queries.
4. The generative AI report showed glossary pages rising.
5. Health checks found one key product page with "Duplicate, Google chose different canonical".
6. The action: fix the canonical, request indexing and annotate the date. Next month's routine checks the result.

## Questions practitioners ask

**Who should own the routine?** One named person, with a backup. Rotate the summary review across marketing leads.

**What if nothing changed?** Say so. A stable month is useful information; keep the action small, such as one refresh.

**How do I keep it short?** Stick to key pages and sections. Investigations go into separate tickets.

## A minimal version for small teams

If you have only 30 minutes a month: check non-branded clicks vs last month, open Insights trending down, read the generative AI report's top pages, and confirm key pages are indexed. Write two bullets and one action.

## The routine by week

| Week | Task | Time |
|---|---|---|
| 1 | Performance comparison, brand split, Insights | 30 min |
| 1 | Generative AI report and AI sheet update | 20 min |
| 2 | Page indexing for key pages, sitemaps, Core Web Vitals | 20 min |
| 2 | Links and crawl stats glance | 10 min |
| 3 | Write summary and agree actions | 20 min |
| 4 | Follow up on last month's actions | 10 min |

## Summary template

```
Month:
Headline: (one sentence)
Non-branded clicks vs last month and last year:
AI exposure on key pages:
Issues found: (indexing, speed, crawl)
Actions: (owner, due date)
Last month's actions: (done / not done, result)
```

## Troubleshooting the routine

| Problem | Fix |
|---|---|
| Summary too long | Limit to the template; link to details |
| Actions never happen | Assign one owner and a date; review next month |
| Numbers don't match last month | Data was refreshed; always use complete months and note the export date |
| Stakeholders skip it | Lead with one chart and one decision |

## Quarterly additions

Every three months, also review user and permission lists, check the generative AI control on all properties, refresh the prompt library, and compare the quarter with the same quarter last year.

## Handing the routine over

When the owner changes, hand over the access sheet, the monthly sheet, the saved filters and regex, the dashboard, the prompt library, and the last three summaries. Run one month together. Our view: a routine that lives in one person's head stops the month they leave.

## Measuring whether the routine works

After six months, look back: how many actions were completed, and did the pages they touched improve? If most actions weren't done, reduce the routine rather than expand it.

## Quick checks before you move on

- The routine has a named owner and a backup.
- The monthly sheet, dashboard and prompt library are linked from one place.
- The summary template is agreed with stakeholders.
- Last month's actions are reviewed at the start of each new month.
- Quarterly additions are in the calendar.

## Common ways the routine drifts

- **Scope creep:** new reports get added and the routine stops fitting in two hours. Remove something for every addition.
- **Stale baselines:** comparisons use incomplete months. Always compare complete months and note the export date.
- **Silent tool changes:** Search Console adds or renames reports. Check Google's Search Central blog when something looks different.

## Worked example: Ledgerline's first month

*Ledgerline is a fictional accounts-payable software company. Details and numbers are illustrative.*

Ledgerline's first routine found non-branded clicks steady, glossary AI exposure rising and one key page unindexed. The action: fix the page.

### Walkthrough

1. Copy the routine into your calendar.
2. Build the monthly sheet.
3. Run the first month.
4. Share a 5-bullet summary.

## Try it yourself

Run the full routine once and write the 5-bullet summary.
