AI Email Writing, Personalisation and AI Inboxes (2026)
Use AI to draft and personalise email safely, and write for Gmail AI Overviews, AI Inbox, Apple Intelligence and Yahoo summaries that readers now see.
AI now sits on both sides of the inbox. On the sending side, it helps marketers draft, vary and personalise email faster, but people must still check facts, claims, tone and audience before anything is sent. On the receiving side, Gmail's AI Overviews summarise threads for everyone and an AI Inbox that prioritises mail is rolling out, Apple Intelligence summarises and categorises messages, and Yahoo Mail offers summaries. That changes what a reader sees before they open. Write so a summary carries your message: the point, offer and date in the first sentences, clear sender identity, and real relevance, because AI prioritisation leans on signals such as who people email and what matters to them.
- Use AI to draft and personalise, with human review before every send.
- Gmail AI Overviews summarise long threads. AI Inbox started with trusted testers in January 2026 and, as of 19 May 2026, was expanding to AI Plus and Pro in the US.
- Apple Intelligence can summarise mail and sort it into categories.
- Put the point in the first two sentences; summaries draw on them.
- Personalise from first-party data you are entitled to use.
Checked 5 November 2026 (CET) against Google's "Gmail is entering the Gemini era" announcement (8 January 2026), Apple Support on Apple Intelligence in Mail and Gmail sender guidelines cited in Sources. 01What changed in the inbox?
| Provider | Feature | Availability (per provider announcements) | What it means for senders |
|---|---|---|---|
| Gmail | AI Overviews: thread summaries | Rolling out to everyone at no cost from January 2026, starting in the US in English | Long threads summarised; key points must be clear |
| Gmail | Ask your inbox (AI Overviews answers) | Google AI Pro and Ultra subscribers | Readers can search past emails in natural language; clear facts help them find you |
| Gmail | AI Inbox | Trusted testers in January 2026. From 19 May 2026, expanding to AI Plus and Pro in the US. Already on AI Ultra | Prioritises to-dos and VIPs based on signals like frequent contacts |
| Gmail | Help Me Write, Suggested Replies | Everyone at no cost; Proofread for AI Pro and Ultra | Replies may be AI-drafted; expect shorter, faster replies |
| Apple Mail | Apple Intelligence summaries and priority messages; categories | Devices and regions supporting Apple Intelligence | Summaries can replace preview text; categories affect visibility |
| Yahoo Mail | AI summaries and organisation | Available. A start date was not on a Yahoo page we could confirm | Same principle: clear openings |
Our view: these features reward the same things as good email always did (clear purpose, relevance, a sender people recognise) and punish vague openers and clickbait more quickly.
02How do you write for AI summaries?
| Element | Do | Avoid |
|---|---|---|
| First sentence | State what this email is and why it matters | "Hope you're well", "Big news inside!" |
| Second sentence | The offer, date or action | Burying the CTA at the bottom |
| Facts | Specific dates, times, names, numbers you can prove | Vague claims |
| Sender name | A recognisable person or brand, consistent | Changing names every send |
| Structure | Short paragraphs, descriptive headings | Text in images |
| Alt text | Meaningful for important images | Key info only in images |
Test: paste your email into an AI assistant and ask for a two-line summary. If the summary misses your point, rewrite the opening.
What about prioritisation?
AI Inbox prioritises using signals like frequent contacts and inferred relationships. You cannot game that, but you can:
- Send from a consistent, recognisable sender.
- Encourage replies (questions, "reply with your biggest AP headache").
- Send mail people act on: confirmations, deadlines, useful content.
- Stop mailing people who never engage (sunset policy, lesson 7).
03How do you use AI to write email?
Good uses
| Task | Approach | Human check |
|---|---|---|
| First drafts | Brief with audience, goal, offer, proof, CTA, voice | Facts, claims, tone |
| Subject line options | Generate 10, pick 2 to test | Honesty, CAN-SPAM, spam words |
| Variants by role or industry | Generate per segment from one master | Accuracy for each segment |
| Repurposing | Turn a webinar or report into a newsletter | Quotes and numbers |
| Editing | Shorten, simplify, check reading level | Meaning preserved |
| Accessibility | Alt text drafts, plain-text versions | Accuracy |

A brief template
Audience: AP managers at mid-market companies, on trial day 3, have not created an approval rule.
Goal: get them to create their first approval rule.
Offer: 2-minute guide and a pre-built rule template.
Proof: none needed; product walkthrough only.
Voice: plain, practical, British English, no hype.
Constraints: under 120 words, one CTA, no claims about time saved.
Output: 3 subject lines, 1 preheader, 1 body.Personalisation with AI
- Use first-party data: role, company size, plan, product events, content downloaded.
- Stay within your privacy notice and contracts. Check that your AI tool's data terms allow the personal data you send it, or pass only non-identifying attributes (role, industry, event) rather than names and emails.
- Personalise the substance, not just the name: different example, tactic or next step per segment.
- Avoid creepy: do not reference data the reader would not expect you to have.
04What are the risks?
| Risk | Example | Control |
|---|---|---|
| Hallucinated facts | Invented statistic or feature | Fact-check every claim against sources (Claude editing and fact-checking) |
| Misleading subject lines | AI writes clickbait | Review against CAN-SPAM and your style guide |
| Data leakage | Customer list pasted into an unapproved tool | Approved tools only; strip identifiers |
| Same-sounding copy | Every email reads like every other AI email | Strong voice guide, real examples, human edits |
| Volume creep | Easy drafting leads to more sends | Frequency caps; engagement-based sending |
| Unreviewed automation | AI-generated email sent without approval | People approve and send |
05Worked example: Ledgerline
Ledgerline is a fictional accounts-payable software company. Figures are illustrative, not benchmarks.
Ledgerline's team uses AI to draft onboarding emails. Drafts are fast but generic, and one email claimed "save 80% of AP time", a figure nobody could source.
Walkthrough
- Voice guide and brief template built; AI drafts start from them.
- Claims list: approved, sourced claims only; anything else removed.
- Review step: lifecycle manager approves every email before it goes live in the ESP.
- Openings rewritten for AI summaries: "Your first approval rule takes 2 minutes. Here's a template."
- Summary test: each email checked by asking an assistant for a two-line summary.
- Personalisation: examples vary by ERP integration (from product data), no names sent to the AI tool.
- Result: onboarding click rate and first-rule completion improve (illustrative), and no unsourced claims ship.
06Common mistakes
- Sending AI-written email without review.
- Openers that summaries turn into nothing.
- Pasting customer data into unapproved tools.
- Personalising only the first name.
- Letting AI speed increase send frequency.
07Try it yourself
Take your last three campaign emails and ask an AI assistant for a two-line summary of each. Where the summary misses the point, rewrite the first two sentences. Then write a brief using the template above for your next email.
