Use Gemini in Gmail, Docs, Slides and Vids for marketing drafts, and build Workspace Studio flows that prepare work for a human to approve.

Short answer

Gemini inside Google Workspace is where most marketing teams get their first real time savings. It summarises long email threads and drafts replies in Gmail, drafts and rewrites in Docs, builds slides and images in Slides, and creates videos in Vids. Each app has a Gemini side panel that can pull from your Drive files. Workspace Studio then lets you chain these into flows, such as "every Monday, summarise last week's campaign emails and post them to Chat". Business Starter includes the Gemini app and Gemini in Gmail. Business Standard and higher add Gemini in Docs, Sheets, Slides and Meet.

Key takeaways
  • Use the side panel in each app and point it at Drive files with @, so drafts use your real context.
  • Gmail: summarise threads, draft replies and find facts across your inbox. Docs: draft from a brief and rewrite sections. Slides: generate slides and images from a doc.
  • Workspace Studio flows have a starter (event, schedule or manual) and steps. They can include Asana, Mailchimp and Salesforce.
  • A Studio test run takes real actions. Test on yourself first.
  • Keep a human approval step before anything goes to customers.

Checked 5 November 2026 (CET) against Gemini Apps Help, the Gemini release notes, Google Workspace Help, Google Search Central, Search Console Help, the Gemini API docs and the Google blog posts cited in Sources. Google renames and moves Gemini features often, so confirm labels and limits in your own account. "Our view" marks MentionX opinion. Ledgerline is a fictional company used for illustration.

01What can Gemini do in each Workspace app?

AppUseful features for marketersPlan needed
GmailSummarise a thread; draft or refine a reply ("Help me write"); ask the side panel questions across your inboxBusiness Starter and up; Google AI Plus and up for personal accounts
DocsDraft from a prompt; rewrite, shorten or change tone; side panel with @Drive filesBusiness Standard and up; AI Pro for personal
SlidesGenerate a slide or a deck outline from a doc; generate or edit imagesBusiness Standard and up
SheetsAI function, Fill with Gemini, analysis in the side panel (lesson 7)Business Standard and up
MeetTake notes for me, summaries and action itemsBusiness Standard and up
VidsScript and assemble short videos from a prompt or docStarter and up for core Vids; AI features vary
DriveSummarise files and folders; ask across documentsBusiness Standard and up

Labels and exact features change often, so use this as a map and check the app.

02How do you get better drafts in Docs?

  1. Open the Gemini side panel in the Doc.
  2. Reference your context with @: "Using @Ledgerline context pack and @Q4 launch brief, draft a 900-word blog post…"
  3. Ask for an outline first, then approve it before the full draft.
  4. Use the in-document rewrite options on a selected paragraph instead of regenerating the whole draft.
  5. Ask the side panel: "List every claim in this doc that has no source in the referenced files."

03How do you use Gemini in Gmail without risk?

TaskPrompt in the Gmail side panelCheck
Catch up on a thread"Summarise this thread. List decisions, open questions and owners."Skim the last three emails yourself
Find a fact"What did the agency say about the Q1 media budget?"Open the source email it cites
Draft a reply"Draft a reply agreeing to the timeline but asking to move the review to Thursday."Edit tone and names before sending
Prep for a call"Summarise all emails with Acme from the last 30 days."Confirm nothing confidential is pasted elsewhere

Our view: Gemini in Gmail drafts; you send. Never set up anything that sends customer-facing email without a person reading it.

04How do you build decks faster in Slides?

  • Generate a slide from a prompt, or reference a Doc to turn sections into slides.
  • Generate images in Slides with the Nano Banana image models, then edit them with follow-up prompts.
  • Ask the side panel to "rewrite speaker notes for a 10-minute talk to finance leaders".
  • Keep your brand template. Generated slides take on your master layouts, so fix the master first.

05What is Workspace Studio?

Workspace Studio (studio.workspace.google.com) is Google's no-code automation tool. Google's help page explains that every flow has two parts:

  • Starter: what launches the flow. That can be an event (a new email, a form submission), a schedule, or a manual trigger.
  • Steps: what the flow does. Steps can be actions ("draft a reply"), AI steps that use Gemini ("recap unread emails"), or notifications ("notify me in Chat").

Studio integrates with Gemini, Gmail, Calendar, Chat, Drive, Docs, Forms, Sheets and Tasks, plus third-party apps including Asana, Mailchimp and Salesforce. Updates in September 2026 added custom starters, custom steps and webhooks.

Eligibility: work accounts need an eligible edition (Business Starter, Standard or Plus; Enterprise Standard or Plus; several Education editions), and your admin must enable Gemini. Personal accounts need Google Workspace Experiments.

06What flows are worth building for marketing?

FlowStarterSteps
Daily inbox digestSchedule, weekdays 8:30Recap unread emails with Gemini, then post to Chat
Form lead triageNew Google Form responseGemini classifies by segment, adds a row to Sheets, notifies the owner in Chat
Agency report digestNew email from the agency domainSave attachments to Drive, summarise with Gemini, post to the team space
Content request intakeNew form responseCreate a Doc from the brief template, create an Asana task
Weekly launch recapSchedule, MondaysGemini summarises a Drive folder of launch notes into a Doc

07How do you build your first flow?

From Google's tutorial:

  1. Go to studio.workspace.google.com and open the Discover page.
  2. Choose the Get a daily summary of unread emails template.
  3. Click the starter, On a schedule, and set the time and days.
  4. Open the AI step, Recap unread emails, and refine the instructions. For example: "Group by client. Flag anything that needs a reply today."
  5. Check the Chat notification step.
  6. Run a test. A test run takes real actions, so it really will post to Chat.
  7. Turn the flow on.

Some steps may need approval depending on your admin's policies, and third-party steps can share your Google Account data with that service. Read the step before you connect it.

08How do skills and Studio fit together?

Skills you create in the Gemini app don't sync into Workspace Studio, and Google says the "Ask a Gem" step can't be added to new flows. Put the important instructions directly in the AI step, or recreate them in Studio. Keep the master text in the same shared folder as your skills (lesson 5) so they stay consistent.

09Worked example: Ledgerline

Ledgerline is a fictional accounts-payable software company. Details are illustrative.

Ledgerline's demand gen team spent hours each week reading agency emails and triaging webinar sign-up forms.

WorkflowBefore (illustrative)After (illustrative)
Agency report emails2 hours a week reading PDFsStudio flow saves to Drive and posts a 5-bullet summary to Chat
Webinar form triageManual copy to SheetsFlow classifies company size, adds a row, pings the SDR in Chat
Launch blog draft6 hours2.5 hours using a brief template and the Docs side panel

Walkthrough

  1. The admin confirmed Gemini and Workspace Studio were on for marketing.
  2. The demand gen manager built the agency digest from the email-summary template, with a starter limited to the agency's domain.
  3. He tested it on a forwarded old report. The test really posted to Chat, so he used a private space.
  4. He built the form triage flow and added an approval rule: the SDR decides whether to reach out, and the flow never emails the lead.
  5. The content lead used the brief template and the Docs side panel for the launch post, then checked every claim against the release notes.

10Common mistakes

  • Prompting without context. Reference Drive files with @.
  • Testing flows in shared spaces. Test runs take real actions.
  • Auto-sending to customers. Keep a person in the loop.
  • Connecting third-party steps without checking what data they receive.
  • Expecting Gem or skill instructions to carry into Studio.

11Try it yourself

Build the daily unread-email digest from the template, posting to a private Chat space. Rewrite the AI step's instructions to group by project and flag urgent items. Run it for a week, then decide whether to keep it, change it or switch it off.

12Quick quiz

1. What are the two parts of every Workspace Studio flow?

Answer: A starter and one or more steps.

2. Does a Studio test run take real actions?

Answer: Yes.

3. Which edition first includes Gemini in Docs and Slides?

Answer: Business Standard.

13What should you check before the next lesson?

  • You've used the Docs side panel with an @-referenced brief.
  • You have one Studio flow running, posting to a private space.
  • You have a written rule that flows draft and people send.
