Executive reporting with Looker Studio

Design a one-page executive marketing report in Looker Studio with KPIs, variance and footnotes leadership will actually read.

Short answer

Executives do not want your 14-page ops dashboard. They want five to nine KPIs, variance to target, one trend, one risk callout and a footnote that proves you are not guessing. This lesson designs that one-pager in Data Studio and shows how to link deeper boards without dumping complexity upstairs.

Key takeaways
  • One page for exec; link out for detail.
  • Five to nine KPIs with targets and status.
  • Variance > raw volume when budgets are fixed.
  • Footnotes for definitions and freshness.
  • Schedule delivery; do not rely on "the link is in Slack somewhere".

Checked 5 November 2026 (CET) against Google Cloud Data Studio documentation, the Data Studio product page, the Looker Studio-is-Data-Studio blog post, connector help pages and the Analytics Help pages cited in Sources. Google renames and moves features often, so confirm labels and limits in your own account. "Our view" marks MentionX opinion. Ledgerline is a fictional company used for illustration.

01What does the one-pager include?

ZoneContent
HeaderPeriod, owner, last refresh note
KPI rowSpend, Pipeline/Leads, CAC/CPA, AI Assistant sessions, Organic clicks (GSC)
TrendOne dual-axis chart (leads vs spend)
Channel stripPaid / Organic / AI Assistant / Other — outcomes only
Risks / winsTwo bullet text boxes fed from a Sheet if possible
FooterDefinitions + links to ops dashboards

Align KPI names with executive GEO dashboard template and monthly AI visibility report template.

02How do you pick KPIs?

Ask: "If only one number moves this week, which one changes a decision?" Then add supporting metrics.

RolePrimary KPISupporting
CMOQualified pipeline or leadsSpend, CAC
CFOCAC / payback inputsSpend vs plan
Demand gen leadCPA by channelVolume
Brand / GEOMention rate + AI Assistant sessionsGenAI clicks

03How should variance appear?

  • Scorecard comparison to previous period or
  • Calculated vs_target = (actual - target) / target with conditional formatting
  • Status text: On track / Watch / Off track

Never show a target that finance does not recognise. Pull targets from the same Sheet as the ROI lesson.

04Sharing patterns

Slide export via Gemini in Data Studio (Pro, preview)Board deck assembly
Personal report link (Pro)When a leader wants to poke filters without breaking the master

05Worked example: Ledgerline

Ledgerline is a fictional accounts-payable software company. Details are illustrative.

Blended CPA$162$160Watch
AI Assistant sessions1,9401,500On track
Prompt mention rate34%40%Off track

Walkthrough

  1. The old exec report had 22 scorecards. The CEO stopped opening it.
  2. Ops cut to seven KPIs and moved diagnostics behind links.
  3. Prompt mention rate Off track funded a content sprint on integrations.
  4. Scheduled Monday 07:30 email landed before standup.
  5. Competitor D emailed a 30-page PDF; Ledgerline's one-pager was the one quoted in the board minutes.

06Meeting agenda that fits the one-pager

  1. Status lights (2 min)
  2. One trend callout (3 min)
  3. One risk / decision (5 min)
  4. Link to ops for deep dive (optional)

If the meeting regularly exceeds 15 minutes on the one-pager, you have too many KPIs or no decision box.

07Board pack path

  1. Freeze date range Sunday night.
  2. Refresh extracts Monday morning if you use them.
  3. Gemini → Slides only after a human reads summaries (Pro preview).
  4. Attach PDF of the one-pager as appendix.

Never let an AI summary introduce a fourth definition of "lead".

08KPI shortlist by company stage (illustrative)

StageEmphasiseDe-emphasise

Rewrite the one-pager when the company stage changes — do not keep seed-stage vanity metrics on a Series C board.

09Anti-patterns that kill exec trust

No targetsYou are reporting, not managingSheet targets
Unlabelled AI metricYou might be spinningThree-lane definitions
Stale freshnessYou do not notice lagFooter + schedule after refresh windows

10One-pager wireframe (text)

[Logo] Marketing weekly Period: … Owner: …
[KPI][KPI][KPI][KPI][KPI]
[Trend: leads vs spend]
[Paid | Organic | AI Assistant | Other]
[Decision needed?]
[Risk] [Win]
Footer: definitions · freshness · links to ops

Build literally that shape before you invent a new layout.

11Linking GEO without confusing paid ROAS

On the exec page, show AI Assistant sessions and prompt mention rate as visibility KPIs, not as a ROAS line. Place a small text link to the AI visibility dashboard and calculating ROI of GEO. Executives who want "one efficiency number for everything" need a guided conversation, not a dishonest blend.

12Ownership model

Page layoutMarketing ops

Narrative "Decision needed?"Rotating weekly author

13Our view

Our view: the exec page is a decision surface. If it cannot host a "Decision needed?" box without feeling crowded, you still have too many KPIs. Cut again. Link the executive GEO dashboard template when GEO is in the narrative, and keep paid ROAS on its own labelled line.

14Scorecard comparison settings

Use previous period comparisons only when the business is seasonal-aware enough to interpret them. Otherwise show vs target only. A −12% week on a launch week is not automatically a crisis — the Decision box should say so.

15Screenshot discipline

When someone pastes a cropped scorecard into Slack, the footnote disappears. Prefer scheduled PDFs or full-page screenshots for decisions. If you must crop, paste the definition in the Slack message body.

Keep the page count at one for executives even when ops beg for a second chart — link out instead.

16Common mistakes

  • Ops dashboard shared as exec.
  • KPIs without owners.
  • No targets.
  • AI vanity metrics without lane definitions.
  • Edit access for the whole leadership list.

17Try it yourself

Clone your marketing overview into Exec — one page. Delete charts until ≤9 scorecards remain. Add targets. Schedule a test email to yourself.

18Quick quiz

1. Roughly how many KPIs on an exec page?

Answer: Five to nine.

2. Where do diagnostic tables go?

Answer: Linked ops pages, not the exec canvas.

3. Name one Pro feature useful for exec delivery.

Answer: Extra delivery schedules, Chat delivery, alerts, personal report links, or Gemini-to-Slides (preview).

19What should you check before the next lesson?

  • One-pager exists with targets.
  • Definitions footer complete.
  • Schedule or distribution owner named.

20Common questions

How many metrics belong on an executive Looker Studio page? Aim for five to nine KPIs. More becomes a wall. Put diagnostics on linked ops pages.

Should executives get edit access? Usually no. Share view access or scheduled PDF/email. Use Pro personal report links when someone needs a private sandbox copy.

How often should the exec report refresh? Weekly is enough for most marketing exec packs. Daily invites noise. Match freshness notes to connector limits (Ads/GSC 12h).
