Our view: a task that says "No changes" most weeks is a good task. The ones that produce long reports every week get ignored by week three.

#03What limits should you plan around?

Active task limits are per account and count only active tasks. Tasks created in a project can't access the project's files, so include the brand facts the task needs. Event-triggered tasks depend on the plugin supporting events and on the connected app's permissions. Business workspaces also have team tasks that teammates can review and maintain together, subject to workspace permissions.

#04Worked example: Ledgerline's task set

Ledgerline is a fictional accounts-payable tool. Details are illustrative.

On a Plus plan, Ledgerline's marketer used all five task slots: competitor watch, Monday briefing, Friday mention check, a monthly report reminder and an event-triggered summary of demo-request emails. After a month the competitor watch had flagged one real change, a new pricing tier from Competitor C. The mention check showed Ledgerline appearing in two of five buyer questions, which fed the work in lesson 19.

#05What should you check before the next lesson?

• Pick the two tasks you'd most like to stop doing manually.
• Write them with the one-line "nothing happened" rule.
• Confirm the apps they use have the right permissions.

How many scheduled tasks can I have? OpenAI lists active task limits of 3 on Free and Go, 5 on Plus, 10 on Business and Edu, and 15 on Pro and Enterprise. Paused or completed tasks don't count.

What is an event-triggered task? A task that runs in ChatGPT Work when something happens in a connected app, such as a new Gmail message, a Slack message or a GitHub event. It is available on Plus and above.

Can a scheduled task use my project files? Not if it was created inside a project. OpenAI says tasks created in a project cannot access the project's files, so paste the needed context into the task instructions.
