Short answer

A sustainable Perplexity programme needs a small monthly routine and a few clear rules. Each month, run your frozen prompt set and review mention and citation share by intent group. Check Perplexity referrals and conversions in GA4, list citation gaps and accuracy problems, and pick three actions. Give one person accountability, keep the report to one page, and set rules for API keys and credits, data uploads, connectors and agent actions before you scale.

Key takeaways
  • Weekly automated runs feed one monthly review. The prompt set and settings get a quarterly review.
  • Make one owner accountable and name contributors in SEO, PR, analytics, product marketing and web.
  • The one-page report covers share, gaps, traffic, accuracy and three actions.
  • Governance covers keys, budgets, data, connectors and human approval for external actions.

Checked 5 November 2026 (CET) against the Perplexity Help Center, Perplexity blog, Perplexity API docs and the outlets cited in Sources. Perplexity renames and moves features often, so confirm labels and limits in your own account. "Our view" marks MentionX opinion. Ledgerline is a fictional company used for illustration.

01What does the routine look like?

CadenceTaskLesson
Weekly (automated)Run the prompt set through the Agent API or n8n and store results19, 12
Weekly (automated)Competitor and news monitoring, with alerts to a channel5, 9
MonthlyReview share, gaps, traffic and accuracy, then pick actionsThis lesson

QuarterlyReview the prompt set, competitor list, regex and costs18
QuarterlyCheck plans, features and commercial surfaces (ads, Shopping)2, 17

02What happens in the monthly review?

A 45-minute meeting with a fixed agenda (our view):

  1. Share (10 minutes). Mention and citation share by intent group versus last month and competitors, with ranges.
  2. Sources (10 minutes). The top cited domains per group. Which are new, and which dropped?
  3. Gaps and accuracy (10 minutes). Prompts where competitors win, and branded answers with wrong facts.
  4. Traffic (5 minutes). Perplexity sessions, landing pages and key events from GA4.
  5. Actions (10 minutes). Pick three, each with an owner and due date: content fixes, earned media pitches and technical fixes.

03What goes in the one-page report?

Perplexity visibility – [Month YYYY]

1. Headline: one sentence (e.g., "Comparison share up; pricing accuracy fixed")
2. Share by intent group (mention / citation, range, vs last month, vs top competitor)
3. Top 5 cited domains per group, new entries flagged
4. Citation gaps: top 5 prompts where competitors are cited and we are not
5. Accuracy issues: wrong facts found, status of fixes
6. GA4: Perplexity sessions, engaged rate, key events, top landing pages
7. Actions last month: done / not done, effect seen
8. Three actions this month: owner, due date
9. Method notes: prompt set version, runs per prompt, any changes

04Who owns what?

RoleResponsibility
Owner (SEO or content lead)Routine, report, prompt set, prioritisation
PR or communicationsEarned media actions, publisher relationships
AnalyticsGA4 channel group, regex, attribution fields
Product marketingPositioning, comparison pages, accuracy fixes
Web, IT or securityrobots.txt, WAF rules, log checks
Finance or opsAPI and Computer credit budgets

05What governance rules do you need?

AreaRule (example)
DataDon't upload customer personal data, contracts or confidential financials to Projects or threads unless your plan's data terms and your policy allow it
AccountsUse the company workspace (Enterprise, if you have it), not personal accounts, for team work
API keysKeep them in a secrets manager or n8n credentials, never in docs or sheets. Rotate them when people leave
BudgetsSet monthly spending limits for the API and Computer credits, with an owner who reviews usage
ConnectorsKeep an approved list (for example Drive, Slack and Notion) and review access quarterly
Agent actionsAgents may draft emails, posts or forms. A human must approve and send anything external
Browsing agentsUse Comet agents only on trusted sites when logged in to sensitive accounts, because of prompt-injection risk (lesson 10 on Comet)
ClaimsCheck Perplexity outputs against sources before publishing. Never publish unverified statistics
EthicsNo fake reviews, astroturfing or undisclosed paid content (GEO ethics)

Check your plan's data terms in the Perplexity Help Center and the Enterprise documentation, because they differ by plan.

06How do you keep the programme going after the first quarter?

Most programmes fade once the setup work is done. Three habits help (our view):

  • Tie actions to existing plans. Put Perplexity actions in the content calendar and PR plan, not in a separate backlog nobody reads.
  • Report effort and outcome together. Show what shipped next to how share moved, so leadership sees cause and effect over time.
  • Retire what doesn't work. If a prompt group never moves after several actions, check whether the prompts reflect real buyer questions before investing more.

07Worked example: Ledgerline

Ledgerline is a fictional accounts-payable software company. Details are illustrative.

After three months, Ledgerline's SEO lead formalised the programme.

ElementLedgerline setup
OwnerSEO lead
Weekly runsn8n workflow calling the Agent API, 60 prompts × 3 runs
Monthly reviewFirst Tuesday, 45 minutes, with SEO, PR, analytics and product marketing
ReportOne page in the shared drive, with a link in the leadership update
BudgetAPI spending limit set, reviewed monthly by ops
RulesNo customer data in Projects. Agents draft but never send

Walkthrough

  1. Wrote a one-page governance note using the table above and had legal review the data rules.
  2. Moved API keys from a sheet into n8n credentials and rotated them.
  3. Set a spending limit and an alert.
  4. Scheduled the monthly review and quarterly prompt set review.
  5. Built the report template and filled in the first month from existing data.
  6. Picked three actions: refresh the comparison page versus Competitor B, pitch two trade publications, and fix the pricing facts on a review site.

The next month's report showed the comparison group's share moving slightly, within the range. The team logged it as "watch" rather than a win.

08Common mistakes

  • No owner. Everyone looks, nobody acts.
  • Reports without actions.
  • Shared personal accounts and keys.
  • Letting agents send external messages.
  • Changing the method silently.

09Try it yourself

Draft your one-page governance note and report template from this lesson, assign an owner, and book the first monthly review. Fill in the report with whatever data you have, even if it's manual.

10Quick quiz

1. What are the five parts of the monthly review?

Answer: Share, sources, gaps and accuracy, traffic, and actions.

2. Who sends external messages an agent drafts?

Answer: A human, after approval.

3. Why include method notes?

Answer: So changes in share can be traced to real change or to method changes.

11What should you check before the next lesson?

This is the last lesson in the track. Before you finish:

  • An owner is named and a monthly review is booked.
  • The governance note is written and shared.
  • API keys are stored securely and budgets are set.
  • Your first report is drafted.
