How Looker Studio (Data Studio) works for marketers
What Looker Studio is after the 2026 Data Studio rename: reports, data sources, connectors, credentials and cache.
Looker Studio is Google's free report builder for marketers. In April 2026 Google renamed it back to Data Studio, the name it used before the Looker acquisition branding. The product still connects to GA4, Google Ads, Search Console, Sheets, BigQuery and more than a thousand partner connectors, then lets you arrange charts, filters and pages on a shared canvas. This lesson explains the building blocks you will use in every later dashboard: reports, data sources, connectors, credentials, freshness and the difference between Data Studio and full Looker.
- Data Studio = formerly Looker Studio. Same product family; Pro is Data Studio Pro.
- A connector talks to a platform. A data source is your configured connection plus field list. A report is the visual you share.
- Credentials are either viewer's or owner's. Marketing reports almost always need owner's credentials so viewers share one cache.
- Data freshness controls how long cached query results are reused before Data Studio hits the source again.
- Data Studio is for self-serve marketing reports. Looker (the enterprise BI product) is a different platform with a semantic model.

01What changed in April 2026?
Google's Cloud blog announced that Looker Studio was reintroduced as Data Studio, with Looker remaining the enterprise business intelligence platform. Release notes dated 16 April 2026 confirm the rebrand, an updated home page that also surfaces BigQuery conversational agents and Colab data apps, and the rename of Gemini in Looker to Gemini in Data Studio.
| Old name (pre-April 2026) | Current name (Nov 2026) |
|---|---|
| Looker Studio | Data Studio |
| Looker Studio Pro | Data Studio Pro |
| Gemini in Looker | Gemini in Data Studio |
| lookerstudio.google.com | Redirects to datastudio.google.com |
Your old report URLs and shares kept working. This Academy track keeps "Looker Studio" in titles because that is still what most marketers search, and uses Data Studio in product steps so the UI labels match.
02What are the core objects?
| Object | What it is | Marketer analogy |
|---|---|---|
| Connector | Google or partner plug-in that knows how to query a platform | The adapter for GA4 or Meta Ads |
| Data source | A configured connection, credentials, field types and freshness | Your "GA4 Ledgerline Prod" pipe |
| Report | Pages, charts, controls, themes | The dashboard PDF people open on Monday |
| Blend | A join of up to five data sources, embedded in one report | Ads spend joined to GA4 revenue by date |
| Extract | A snapshot connector that stores a copy inside Data Studio | A frozen daily copy used to dodge API quotas |
| Team workspace (Pro) | Shared folder with roles | The agency's "Client dashboards" space |
Embedded data sources live inside a report. Reusable data sources are created from the home page and can be added to many reports. Our view: make GA4, Ads and Search Console reusable. Keep one-off Sheets experiments embedded.
03How does a query actually run?
- A viewer opens a report page.
- Each chart builds a query from its dimensions, metrics, filters and date range.
- If Data Studio has seen that exact query recently and the data source's freshness window has not expired, it serves the cached result.
- Otherwise it calls the connector, which calls the underlying API or warehouse, then caches the result.
That cache is why owner's credentials matter. With viewer's credentials, every person can trigger their own queries and burn GA4 quota. With owner's credentials, viewers share the owner's cache.
04Owner's vs viewer's credentials
| Setting | Who authorises the query | Best for |
|---|---|---|
| Owner's credentials | The data source owner | Shared marketing dashboards, embeds, client links |
| Viewer's credentials | Each person who opens the report | Exploring data the viewer already has access to, row-level security patterns |
If a teammate without GA4 access opens a report on viewer's credentials, charts fail for them. On owner's credentials they see what the owner can see. That is usually what you want for a marketing dashboard, and it is also kinder to GA4 quotas (lesson 17).
05What is data freshness?
Freshness is how long Data Studio will reuse a cached query before asking the source again. Google's freshness documentation sets different options by connector:
| Connector | Freshness options (as of Nov 2026) | Notes |
|---|---|---|
| Google Ads, Search Console, YouTube Analytics and other Google marketing products | Every 12 hours | Fixed. Cannot be changed. |
| Google Analytics (GA4) | Every 1 hour, 4 hours or 12 hours | Default is 12 hours on new sources; shorter windows use more quota. |
| Google Sheets | Every 15 minutes, 1 hour, 4 hours or 12 hours | Default 15 minutes. |
| BigQuery | Minutes (1-50) or hours (1-12) | Every refresh can incur BigQuery query cost. |
Blends inherit the shortest freshness of their members. A Sheets source at 15 minutes blended with BigQuery at 4 hours refreshes as if it were 15 minutes.
06How is Data Studio different from Looker?
| Data Studio (ex Looker Studio) | Looker | |
|---|---|---|
| Job | Self-serve charts on many connectors | Governed BI on a modelled warehouse |
| Semantic model | Per data source / blend | Central LookML model |
| Cost to start | Free | Enterprise licence |
| Best marketing fit | Channel dashboards, client reports, AI visibility boards | Company-wide metrics with strict definitions |
Marketers usually need Data Studio. You only need Looker when finance and marketing must share one governed metric layer.
07Worked example: Ledgerline
Ledgerline is a fictional accounts-payable software company. Details are illustrative.
| Asset | Choice (illustrative) |
|---|---|
| Product URL | datastudio.google.com |
| GA4 data source name | GA4 — Ledgerline Prod (owner) |
| Credentials | Owner's |
| Freshness | 12 hours (default) |
| Ads data source | Google Ads — Ledgerline MCC child |
| Search Console | Separate Site and URL impression sources |
| Report | Ledgerline Weekly Marketing with 4 pages |
Walkthrough
- The marketing ops lead created reusable data sources from the home page, not inside a one-off report.
- Each source used owner's credentials so the leadership link and the Slack embed shared one cache.
- Freshness stayed at 12 hours for GA4, Ads and Search Console. Nobody needed hour-level Ads data for the Monday meeting.
- A cover page stated "Data through previous day. Ads and Search Console refresh every 12 hours." so leadership did not argue with live Ads UI numbers.
- When Competitor B's agency asked how Ledgerline reported AI traffic, the team pointed at page 4 of the same report rather than rebuilding it.
08Common mistakes
- Building every data source inside one report, then being unable to reuse it.
- Viewer's credentials on a shared marketing link, which breaks for guests and multiplies GA4 tokens.
- Expecting Ads or Search Console to refresh every hour. They cannot.
- Calling it Looker in a ticket to IT. Looker is a different product. Say Data Studio or Looker Studio (Data Studio).
- Mixing extracted and live sources without labelling which charts are snapshots.
09Try it yourself
Open datastudio.google.com. Create a blank report, add the sample Gallery data or a Sheet you own, and find the data source credentials and freshness controls. Note the exact labels your account shows.
10Quick quiz
1. What did Google rename Looker Studio to in April 2026?
Answer: Data Studio.
2. Why do shared marketing dashboards usually use owner's credentials?
Answer: Viewers share one authorisation and one cache, so charts work for people without direct source access and GA4 quota lasts longer.
3. Can you set Google Ads freshness to every hour?
Answer: No. Google Ads freshness is fixed at every 12 hours.
11What should you check before the next lesson?
- You can open Data Studio and create a blank report.
- You know whether your team still says "Looker Studio" internally (fine) and what the UI calls Pro.
- You have a list of the five questions leadership asks each month.
